How to Choose an HRMS: Requirements, Demo and Acceptance Guide

Choose an HRMS using testable requirements, realistic demos, data migration, permissions, integrations and rollout acceptance criteria.

SALMO / OPERATIONS GUIDE

Prepared by Salmo · A practical guide to planning HR operations.

Begin with workflows rather than feature lists

Write down three recurring workflows that consume staff time, such as leave requests, employee record changes and payroll inputs. Define each trigger, requester, approver, data source and required output. This helps distinguish a need for new software from a need to improve existing procedures. A feature list alone does not explain cross-branch approvals or temporary delegation when an approver is absent.

Build a testable requirements matrix

Classify requirements as essential at launch, important later or optional. Add a test scenario and decision owner to each. Instead of “leave management,” specify that an employee submits a request, the manager reviews the balance and the decision appears in the employee record with an approval trail. Separate operational needs, integrations and future requests. A marketed feature does not establish that integration with your existing system is included in price or delivery time.

Make the demonstration realistic

Use representative scenarios with non-sensitive test data: a new employee, a rerouted request, insufficient leave balance and a report viewed by a restricted manager. Review employee, manager and HR administrator experiences separately. Ask how corrections preserve history, how data is exported and what happens when reporting lines change. Check language support and mobile usability when employees primarily use phones.

Review migration, permissions and integration

Identify who cleans records before migration, required fields, balance reconciliation and the data acceptance owner. Clarify the integration method rather than assuming a ready-made connection: counterpart system, exchanged fields, refresh frequency and error monitoring. Discuss permissions, leaver account deactivation, administrator management, backups and export within the agreement. Avoid real employee records in unrestricted demonstrations.

Define acceptance and support

Before selection, agree the workflows that must pass before rollout, reports to review, training ownership and issue reporting. Examine setup, migration, licensing, support and integration costs separately, together with the data exit plan. Salmo offers an integrated HRMS and HR application. Request a demonstration around your organization’s requirements and confirm available functions and integrations within the proposed scope.
