Start with a concrete task: finding an approved policy, summarizing a request or organizing a report. Define users, sources, outputs and review responsibilities. A bounded problem is easier to assess than adding AI to every workflow at once.
Review sources and access
Identify approved documents, their currency and update owners. Discuss access boundaries and what each user actually needs. Disorganized information and conflicting policies affect output quality regardless of the tool’s capability.
Define evaluation and human oversight
Test routine questions and incomplete or ambiguous cases, recording errors and handling procedures. Define when to display sources and escalate to a specialist. People-related decisions remain with authorized human owners; outputs assist within an agreed scope.
